Medical / Allied Health Receptionist

Movement Therapy is a growing transdisciplinary health team focused on moving communities towards health optimisation.

We aim to create a healthcare system driven by preventive practices and individual outcomes. We believe health professionals should work collaboratively toward shared patient goals, using the resources they need to succeed.

We offer Physiotherapy, Chiropractic, Osteopathy, and Exercise Physiology across the Wollongong and Picton regions. Our admin team is the beating heart of our clinics, providing high-level support and exceptional service to every patient who walks through our doors.

Due to growth and expansion, we are seeking an additional full-time team member for our Wollongong clinic.

The Candidate

We’re looking for someone who is purpose-driven, values-aligned, and excited to be part of a team that’s making a difference in people’s lives.

You will:

  • Bring a proactive, can-do attitude and thrive in a fast-paced environment
  • Communicate with clarity, warmth, and empathy, in person and in writing
  • Demonstrate strong organisation, time management, and attention to detail
  • Present professionally, with a friendly and approachable manner
  • Align with our vision and mission, and thrive in a values-led, purpose-driven workplace
  • Be motivated to learn, grow, and contribute in a self-governed, flat-structured team

Hours & Location

This is a full-time role (35–40 hours/week) based at our Wollongong clinic.

Clinic hours:

  • Monday–Thursday: 8:00am – 8:00pm
  • Friday: 8:00am – 6:00pm

You will be required to work some evening shifts, depending on team coverage.

Desirable Experience (Not Essential)

We hire primarily on attitude, adaptability, and cultural fit. However, experience in the following is a bonus:

  • Allied health or medical administration
  • Familiarity with Medicare, DVA, WorkCover, and NDIS
  • Experience using Cliniko or Nookal

Whether you’re experienced or simply willing to learn and grow, we’d love to hear from you.

Salary & Leave

  • $59,280 – $80,000 per year, based on experience and demonstrated capability
  • Includes five weeks of annual leave

Key Responsibilities (Depending on Experience)

As part of our administrative team, your responsibilities will grow over time depending on your experience, capability, and initiative. We hire with the intention to develop team members across multiple areas, including leadership and practice operations.

Some of the responsibilities you may take on (or grow into) include:

Reception & Patient Support

  • Greeting patients, answering phone and email enquiries
  • Scheduling appointments and processing payments
  • Managing patient bookings, cancellations, DNAs and new enquiries
  • Providing exceptional service across all patient types (private, Medicare, DVA, WorkCover, NDIS)

Systems & Daily Operations

  • Managing clinic software (e.g. Cliniko, HICAPS, Asana)
  • Opening and closing clinic, stock coordination, general maintenance
  • Keeping the clinic clean, professional, and welcoming

Communication & Customer Experience

  • Creating a warm, calm and engaging front-desk presence
  • Following up on feedback, addressing patient concerns, and contributing to customer retention strategies
  • Helping new patients feel at ease and promoting clinic services confidently

Domain Ownership & Self-Governance

  • Owning and improving specific admin “Domains” (areas of responsibility)
  • Managing quarterly goals and contributing to business-wide initiatives
  • Collaborating in a self-managed, flat-level structure that encourages initiative and leadership from all levels

Growth Opportunities (As You Progress)

Depending on your level, you may also:

  • Contribute to mentoring junior staff
  • Support with recruitment and onboarding
  • Manage more complex Domains (e.g. finance, rostering, education systems)
  • Help identify and implement process improvements across the business
  • Lead proposals, meetings, and team projects
  • Step into Practice Manager-level responsibilities as you grow

You won’t be expected to take on all of these from day one. We’ll support your development and gradually expand your responsibilities as your confidence and capability grows.

We’re looking for someone who sees this as more than just a job — but as a long-term role with purpose. While you’ll start at our Wollongong clinic, our vision includes expanding to multiple clinics and larger facilities, all driven by our mission to move communities towards health optimisation. If you’re excited by the idea of growing with a values-led business and helping shape what comes next, we’d love to meet you.

Do you:

  • Care about delivering excellent service and support?
  • Love working as part of a team?
